Why Data Ownership Matters in CRE
Bill: What pushed your team beyond standard software usage?
David: After using AppFolio for nearly 15 years, we realized we wanted more control over reporting, KPIs, and workflows. API access gave us the ability to build processes tailored to our business instead of relying solely on out-of-the-box functionality.
Turning Data Into Better Operations
Bill: What was the first operational problem you set out to solve?
David: One challenge was coordinating move-outs. Multiple departments were involved, and communication gaps occasionally appeared. We wanted workflows that automatically moved information between teams and reduced the chance of errors.
Bill: That's a classic example of data sitting in one system and people needing it in another, with manual steps in between.
David: Exactly. Once you have API access, you can build bridges between systems. The data exists — it just isn't flowing where it needs to go without someone manually moving it.
Building Custom Solutions
Bill: What surprised you during implementation?
David: The amount of time required. Creating workflows is one thing; building interfaces people actually enjoy using is another. We used AI tools to accelerate development, but refinement still takes time.
Bill: That's an honest answer. There's a gap between a workflow that technically works and one people will actually adopt.
David: Right. Adoption requires the interface to feel natural. If it creates more friction than it removes, people find workarounds.
The Value of Vertical Integration
Bill: Your organization spans investments, property management, and construction. How does that vertical integration change what's possible?
David: Because those groups work together, information can move more effectively throughout the asset lifecycle. A decision made during construction informs operations. An operational issue surfaces back to the investment team. That creates a better experience for both employees and residents.
Bill: Most organizations have silos between those functions. The data doesn't travel with the asset.
David: That's the core problem. When systems don't talk to each other, you end up with redundant data entry, inconsistent records, and decisions made on stale information.
AI as an Enhancement Tool
Bill: How do you think about AI in the context of property management operations?
David: AI should help people become more productive, not replace them. The most effective use cases eliminate repetitive tasks and allow employees to focus on higher-value work.
Bill: We see that a lot — AI deployed for the wrong reasons ends up creating new overhead instead of removing existing friction.
David: Agreed. The question you need to answer first is: what specific problem am I solving? If you can't name it, you're not ready to deploy AI against it.
The Future of Intelligent Operations
Bill: Where do you see this going — what does operational intelligence look like in five years?
David: I believe AI agents will eventually act as digital assistants, gathering information across systems and helping employees make faster, more informed decisions. The goal is better operational intelligence, not more complexity.
Bill: That's the right frame. Intelligence that surfaces at the moment of decision, from data you actually own.
David: And that's what owners need to be building toward — not dependency on vendor-controlled dashboards, but infrastructure that generates insight from your own data.
